We are committed to ensuring that ALL information is secure, whatever your reason for contact. To prevent unauthorised access to your information all computers and databases are password protected, and all files are kept in a lockable cabinet.  Information is only made available to staff on a 'need to know' basis.
 
 
Newsletter
By signing up to our newsletter you are providing us with your name and an email address for the purpose of receiving information about our charity and events.  We will not pass this information on to any 3rd party and it will not be used for any other marketing without your prior consent.  If you would like to stop receiving our newsletters please click on the link to unsubscribe at the bottom of the email.

 
Family Support
We keep a record of all contact information and correspondence between ourselves and families, including details of the visits we have made, equipment we have loaned, and any advice/support we have given to yourselves.  All of this information is held securely, in both a lockable filing cabinet and a password protected computer.  This information is not shared with any 3rd party, without your prior knowledge and consent, and is only made available to staff on a 'need to know' basis.
 
The only exception to this is where we believe there to be a safeguarding issue, where an adult or child is at risk.  We have to act on this by law and will follow the guidelines set out in our Safeguarding Policy.
 
All personal data is held for a minimum or 3 years from the last point of contact.  At this point it is destroyed securely with a certificate of destruction provided.
 
You can request details of all the personal information we hold under the laws of the General Data Protection Regulations.  Please put your request in writing to Ally Cadence Trust, 107 Cleethorpe Road, Grimsby, North East Lincolnshire, DN31 3ER and allow 14 days for a response.  If you believe any of this information to be incorrect please get in touch as soon as possible so we can update your information.
 
You also have the 'right to be forgotten.' This means that you can request for all data about yourself/your child to be removed without undue delay, when it is no longer necessary in relation to the purpose for which is was collected.  The only time we cannot delete this information is if we believe there to be a Safeguarding issue that we have to act on by Law.
 
 
Purchases and Donations
All online payments and donations are paid through Paypal.  We hold your contact information scurely, however, your card details are not help on our systems, and no member of Staff will have access to them.  Paypal are responsible for the way in which this data is managed.  You can read more via their Privacy Policy in this link.  All paper records in relation to your donation/purchase are kept for 6 years inline with rules set out by the HMRC and the Charities Act.  At this point they are securely destroyed with a certificate of destruction being issued.
